Deal Room emails speakers and moderators with a link to their sessions. The virtual stage will be active 10 minutes before their session so speakers and moderators have a backstage and can prepare themselves. Deal Room will also put the sessions into the speaker and moderator agendas on the platform and send out notifications.

During the session speakers have options to share their screen with the audience (e.g. to show a presentation) and/or stream a video file directly from their computer.

Participants can add any topic to their agenda in advance, and when the session starts, they can click the button to follow the stream. Participants can also chat and ask questions from the speakers and moderators throughout the session.

Admins have authorization to make rehearsals for webinars and interactive sessions. Our event management team will inform admins about rehearsals and then admins can make rehearsals with speakers before sessions. Please note that, speakers can join just their own session’s rehearsal room, can’t see the “join rehearsal” buttons for other sessions.

A virtual event is an online event that involves people interacting in a virtual environment on the web, rather than meeting in a physical location. Virtual events are multi-session online events that often feature webinars and webcasts, workshops, round tables, and 1-on-1 meetings. They are highly interactive and provide multiple opportunities to engage attendees.

A hybrid event is a tradeshow, fair, conference, seminar, workshop or other type of meeting that combines a "live" in-person event with a "virtual" online component.

Deal Room is an event management platform designed to build an effective business network. This platform is dedicated to business networking: Matching the needs of event participants and getting them connected

Once you’re logged in, you get to see other event participants as well as their needs and offerings. Simply click the “meet” or “connect” button if you want to chat before booking a face to face meeting. The easiest way to get to know fellow delegates and meet at designated meeting spaces within the venue at a physical event or on the platform itself at a virtual event is using Deal Room effectively.

If you have purchased an entry ticket to the event, you will be automatically invited to the Deal Room platform. In case the event you are joining is a free public event, you will find the link to register to Deal Room via social media, event website or other communication channels.

PLEASE NOTE: The email used to register your ticket on the ticketing platform of the event is the one that Deal Room platform will assign to your identity. However, once you have created your account, you can add your other email addresses to your account.

All the events to which you are invited will be visible to you in your profile. Deal Room platform usually opens 2 to 4 weeks prior to the event. Once the platform is open for the event you will receive an invitation with the log-in details. It may take up to 48 hours from new ticketing registrations to Deal Room activation. However, as we get closer to the event, we will be doing this with increased urgency and updating the system regularly every day.

• Simply log in to the Deal Room Platform and check out the participants list. We have listed the best matches to your profile under the “Participants” tab.
• Here you can search for people or companies using the keyword text box or using the more advanced search options. You can also sort the fellow participants by relevance, or by date they registered to Deal Room platform.
• Once you find the person you want to meet, you can request to meet.
• The accepting participant will be given the time slots that fit yours, theirs and resources availability.
• We recommend you type an intro to your invitation and also mention your availability.

Your Agenda will help you where you need to be and whom you will meet. You can also suggest a different slot by requesting a reschedule of the meeting.

Please note that at an in person event there will be event staff to assist you on any issue related to Deal Room’s usage at the Registration Area and at the entrance of Business Networking Area.

Completing your profile page with as much information as possible will enable you to network and promote yourself more effectively. Especially the Offer and Seek areas are the utmost important ones.

Your preferences or areas of business interest for the event will enable potential business partners to find you easily, select you from the participant list and propose a meeting. Likewise, when everyone does the same, you’ll be able to find the best potential clients or business partners.

If you choose not to complete your contact details, Deal Room platform will not be able to offer you good matches.

Once you have a confirmed meeting or confirmed connection request, you can check your connections and chat with them. The other party will also receive an email reminding about the chat.

Absolutely! You will receive an email for every meeting and also an SMS. Please make sure you have entered the correct phone number to your profile and your notification settings for meeting reminders are on.

At in person events, event staff around the business matchmaking area can also help you find when, where and with whom your meeting is. At virtual events, you will be able to reach out to Deal Room team from live chat whenever you want.

Participants can book and participate in 1-on-1 meetings in Deal Room without the use of another external tool.

On the invitation email you can see the event link or “register” button, with these email or register buttons you can go to the event registration page. On the registration page you just need to enter your name, surname and email address that you get the invitation email and define a password. If your email address matches with the email address that entered the system you can see the event.

When you login to the system you can see your profile on the left hand side of the page. You can change your name, surname, profile photo and timezone there.

When you join, the event system will open the “edit event profile” page automatically. Once you save your information, if you want to change anything you can see the “my event profile” on the left hand side of the page.

On your profile edit page you can see the “emails” tab. On the emails tab you can add your other email address(es). When you write your email address to the bar and click the “add email” button, the system will send a verification email. You need to write the code that you get to the Deal Room. If you want to remove the added email you can just click the “remove” button.

On your profile edit page you can see the “security” tab. On the security tab you just need to confirm your old password, enter the new password and click the reset password button.

On the system login page you can see the “forgot password” button. You can click this button and write your email address that you registered with and the system will send you a password reset email.

On your profile edit page you can see the “security” tab. On the security tab you will see the “delete account” button. For delete account you just need to click the “delete account button”, write “delete” to the bar and click the “delete” button. Do not forget, this is an irreversible action.

If you can’t see any event when you login to the system this can be because:

-you make a typo on your email address when you registered or
-the email address that you get the invitation from and you registered for are different email addresses.
-you are not added to the event by the organizer.


For 1 and 2 you need to reregister to the system with the right email address.
For 3 you need to contact the organizer.

On the event page you can see the “attendees” tab. On the attendees tab you can see the other attendees will attend the event. On the attendees profiles you can see the “book and meet button”, you can click this button, write a message to the other party and send a meeting invitation.

On the other hand if you get any invitation, you can see them on the “invitations” tab that is placed on the left hand side of the page. You can accept or decline the invitations that you received.

When you send an invitation if the other part accepts your invitation you can see the meeting on your event agenda. If the other part declines your invitation you won’t see the invitation anymore. After sending invitations you just need to wait and check your agenda for meetings.

You can see your confirmed meetings on your event agenda that are placed on the left hand side of the page. Also, you can see the place, date and time of your meeting(s) on your agenda.

If the other party didn’t accept or decline your invitation, you just need to wait.

If the other party declines your invitation, you can’t send a new invitation to this person.

If your meeting is canceled, you can send a new invitation to the other party with a “book and meet” button that is placed on the attendee's profile.

On the agenda tab you can find the relevant meeting and click the “reschedule” button. When you click this button, the system sends an invitation to the other party for rescheduling. Other party can accept or decline this invitation. If the other party declines your rescheduled invitation that does not mean your meeting will be canceled. That just means your reschedule invitation declined.

When you join an interactive session / 1-1 meeting, if you can't see anybody except yourself you need to check the “speakers” tab that is placed on the right side of the page. On the speakers tab you can see the other party’s name with a green dot that means the other party can have a technical issue. If you can’t see the green dot that means the other party didn’t join the meeting, yet. If you can’t see even yourself that can because of your VPN, antivirus or firewall settings. In this case you need to check your settings.

When you are faced with this problem you need to check your VPN, antivirus or firewall settings. You can try to connect your device to your hotspot or can change your device.

You can see the sponsor booths on the “expo” tab. You can send meeting invitations to the booths with “meet” button on the booth or “book and meet” button on the booth admins’ profiles. If you can see the “grab a seat” button on the booth, that means this booth has a meeting table that you can join anytime you want. You can click the “grab a seat” button and join this meeting table.
